Upon placing a booking with us here at Art of Beauty you are agreeing to our policies below. We have these in place for not only our clients but to protect our business from no-shows and last minute cancellations. When placing an appointment you are also purchasing our time, usually when cancellations are last minute we can not then fill this time with another meaning we as a business loose, our income and in turn wages. We respect and fully appreciate our clients time and politely ask for this in return.

Booking and Cancellations

No cancellations or changes allowed within 2 days of the appointment.

A 50% non refundable booking fee is due upon booking your appointment, this will be deducted from your final balance on the day of your appointment.

48 hours notice must be given, via the booking system or contacting Art Of Beauty, to reschedule your appointments. If notice is less than 48 hours 50% of the appointment is charged. If less than 24 hours notice is given the full appointment balance becomes due. Your booking fee will only be transferable for appointments made within 21 days of the original booking.

In the event of a no show the booking fee will still be charged with the full amount of the appointment becoming due and no future appointments taken without full upfront payment.

This policy also applies to course bookings, if the required notice is not given the appointment is deducted from the remaining course balance.

Lateness/No Shows

Please note we if you are more than 10 minutes late for your appointment we reserve the right to cancel and implement our cancellation policy. This is to ensure we do not over run into our next clients appointment.

No Shows will also be subject to our cancellation policy and a full amount will be due for future bookings.

Course / Block Booking Policy

The cancellation policy still applies to all  block bookings, meaning if you do not give at least 48 hours notice to reschedule your appointment it will be deducted from the remaining balance.

Courses of 6  treatments must be  used within 12 months of initial purchase or they will become void.

 

Courses of 12 treatments  must be used within 18 months of booking or they will become void .

 

We reserve the right to cancel block bookings if we feel your appointment would be unsafe to proceed, the remaining balance will be calculated minus discount for block booking for any treatments already carried out.

At Art Of Beauty we are committed to the highest privacy standards, to conform with the new GDPR Regulations launched on the 25 May 2018. However you choose to interact with us, we will only collect data that is necessary for us to deliver the best possible service to you.

 

We want to ensure you are reminded about future appointments or anything else relevant to treatments you may be interested in or products you may buy from us. This Privacy Policy provides detailed information on when and why we collect your personal information and how we use it.

We will update this Privacy Policy from time to time to keep in line with government developments, so please check this page occasionally to ensure that you are happy with any changes. You are encouraged to review the Privacy Policy whenever you visit our website, to ensure that you understand how any personal information you provide will be used.

Recording customer details: how we use your information Covid- 19

To support NHS Test and Trace (which is part of the Department for Health and Social Care) in England, DHSC has provided guidance which we have chosen to follow. The guidance recommends that we collect and keep a limited record of staff, customers and visitors who come onto our premises for the purpose of contact tracing.

 

By maintaining records of staff, customers and visitors, and sharing these with NHS Test and Trace where requested, we can help to identify people who may have been exposed to coronavirus.

As a customer or visitor of Art of Beauty you might be asked to provide some basic information and contact details. The following information will be collected:

• the names of all customers or visitors

• a contact phone number for each customer or visitor

• date of visit

The venue or establishment as the data controllers for the collection of your personal data, will be responsible for compliance with data protection legislation for the period of time it holds the information. If that information is requested by the NHS Test and Trace service, the service would at this point be responsible for compliance with data protection legislation for that period of time.

 

NHS Test and Trace as part of safeguarding your personal data, has in place technical, organisational and administrative security measures to protect your personal information that it receives from the venue or establishment, that it holds from loss, misuse, and unauthorised access, disclosure, alteration and destruction.

In addition, if you only interact with one member of staff during your visit, the name of the assigned staff member will be recorded alongside your information. NHS Test and Trace as part of its guidance, has recommended that we retain this information for 21 days from the date of your visit, to enable contact tracing to be carried out by NHS Test and Trace during that period.

 

We will only share information with NHS Test and Trace if it is specifically requested by them. For example, if other customers at the venue subsequently tested positive, NHS Test and Trace can request the log of customer, visitor and staff details on a particular day.

We may require you to pre-book appointments for visits or to complete a form on arrival. Under government guidance, the information we collect may include information which we would not ordinarily collect from you and which we therefore collect only for the purpose of contact tracing. Information of this type will not be used for other purposes, and NHS Test and Trace will not disclose this information to any third party unless required to do so by law (for example, as a result of receiving a court order). In addition, where the information is only collected for the purpose of contact tracing it will be destroyed by us 21 days after the date of your visit.

However, the government guidance may also cover information that we would usually collect and hold onto as part of our ordinary dealings with you (perhaps, for example, your name and phone number). Where this is the case, this information only will continue to be held after 21 days and we will use it as we usually would, unless and until you tell us not to. Your information will always be stored and used in compliance with the relevant data protection legislation.

 

The use of your information is covered by the UK General Data Protection Regulations Article 6 (1) (f) – legitimate interests of the venue or establishment. The legitimate interest in this case is the interest of the venue/establishment in co-operating with NHS Test and Trace in order to help maintain a safe operating environment and to help fight any local outbreak of coronavirus. Collection of information from or about children under the age of 18 requires the consent of their parent or guardian.

By law, you have a number of rights as a data subject, such as the, right to be informed, the right to access information held about you, the right to rectification on any inaccurate data that we hold about you. You have the right to request that we erase personal data about you that we hold (although this is not an absolute right). You have the right to request that we restrict processing of personal data about you that we hold in certain circumstances. You have the right to object to processing of personal data about you on grounds relating to your particular situation (also again this right is not absolute). If you are unhappy or wish to complain about how your information is used, you should contact a member of staff in the first instance to resolve your issue.

HOW DO WE COLLECT INFORMATION FROM YOU?

 

We obtain information from you when you book using our Client Form and also from our website when you request to be added to our mailing list or order products from our online store.

WHAT TYPE OF INFORMATION IS COLLECTED FROM YOU?

 

In addition to your basic contact information (name, date of birth, telephone numbers and your address) we will collect other relevant details including current, and past health and medication information which is important for our client duty of care process.

If you purchase a product from us, we do not store credit/debit card information, it is collected by third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions.

HOW IS YOUR INFORMATION USED?

 

The information we collect about you is used to ensure we provide you with the best and most appropriate products and services. We will remind you of future booked appointments and also send information about promotions on treatments and products, that we believe would be of interest to you.

We use your contact information to respond to queries from you or if there is an issue with a current booked or previous service.

WHO HAS ACCESS TO YOUR INFORMATION?

We promise not to sell or rent your information to third parties outside of our booking system.

We promise not to share your information with third parties for marketing purposes.

STORAGE, PROCESSING AND RETENTION OF INFORMATION

 

We retain your information for as long as reasonably necessary to provide our products and services and to maintain records to satisfy HMRC, tax and other legal requirements.

HOW AND WHEN WE MAY SHARE YOUR PERSONAL INFORMATION.

 

With your permission, we may disclose your information to our suppliers, for instance, Nimue skin care, if you have a specific problem or query. We may also pass information to external agencies and organisations, including the police, for the prevention and detection of fraud and criminal activity. Should any claim be made, we may pass your personal information to our insurers and if our business is wholly or partially transferred to a third party, your personal information may be one of the transferred assets. In line with Covid-19 track and trace we may also need to pass over your contact details if required.

YOUR RIGHTS WITH RESPECT TO THE PERSONAL INFORMATION WE HOLD

 

You are entitled to access the personal information that we hold on you; any such request should be made using our contact details below. If any data we hold is inaccurate, this will be corrected promptly on request. In certain circumstances you can request that we erase your data which we will do where this would not prevent us meeting our legal and regulatory obligations.

YOUR COMMUNICATION PREFERENCES

 

You may ask us not to use any of the contact details we hold on our records, this may include your email, SMS, telephone and postal information. However, we have found Text Reminders for Appointments a very useful feature. Your personal preferences can be changed at any time by using our “unsubscribe Feature” and either emailing or writing to us on the below details.
